GDPR Statement

Introduction

Our commitment to privacy and data protection is paramount at 360 Media Group. We ensure all data processing complies with GDPR requirements, prioritising transparency, consent, and accountability throughout all data interactions. Below is a summary of our approach and commitments related to personal data handling within our fleet decision-making research panel and events.

Opt-In Consent

We obtain explicit opt-in consent from all participants involved in our research panel through a two-step process. First, individuals receive a phone call confirming their role in fleet decision-making and inviting them to join the panel. A follow-up email provides our privacy policy, detailed information on exercising their data rights, and instructions for opting out, which is promptly processed and recorded.

Research Panel Participation

Panel members participate in at least one survey annually, with opportunities to receive free reports and event invitations. In compliance with GDPR, we only use public sources such as event registrations to grow our panel, repeating our established consent process. Surveys include opt-out options, and all responses are anonymised following the Market Research Society Code of Conduct. Participation indicates consent to receive communications from 360 Media Group and approved third-party suppliers.

Events and Communications

Named individuals who have opted in may be invited to events and webinars. When registering, attendees agree to our terms, which outline that 360 Media Group and event partners may reach out regarding event-related content. Since our events are free, we rely on partner funding, allowing partners to contact attendees during a “reasonable period” related to the event. Attendees may also receive surveys with prioritised access to the results and can opt out anytime by emailing noreply@360mediagroupltd.com.

Fleet Community Membership

Members of our fleet community, including groups such as Fleet250 and Fleet500, enjoy free resources, peer networking, and access to white papers. We refer to members by their organisation, revoking access if an individual leaves. Our privacy policy, provided to all members, explains rights and opt-out procedures included in each communication.

Data Use

We use data to fulfil membership requests, provide updates, deliver relevant content and products, and gather insights through surveys and interviews. For community networking, we may facilitate introductions between companies within the fleet sector, clearly defined as a benefit of participation. We use data to fulfil membership requests, provide updates, deliver relevant content and products, and gather insights through surveys and interviews. Accountability and Transparency

Accountability is a cornerstone of GDPR. We regularly review privacy policies to ensure clear and accessible information on data usage. Our documentation demonstrates compliance and a commitment to transparent data processing.

Consent and Legitimate Interest

Our processing relies on either consent or legitimate interest, ensuring it is specific, informed, and freely given, with an option to withdraw at any time. Legitimate interest is applied for B2B communications within the fleet market, appropriate for contacts who anticipate business-related outreach.

Data Subject Rights

Right to be forgotten: Individuals may request data deletion if no legitimate grounds for retention exist. We inform other data processors when necessary.

Subject Access Request: Individuals may access their data within one month at no cost. Requests may be narrowed if a large volume of data is involved.

Data portability: We provide personal data in a usable format upon request, facilitating transfers to other data controllers.

Data Protection by Design and Default: Privacy is integrated from project inception. Data collection and retention are minimised, and Privacy Impact Assessments (PIAs) are conducted for high-risk processes.

Research and Listings

All research by 360 Media Group adheres to GDPR and the Market Research Society Code of Conduct, prohibiting identification of individual respondents. Fleet rankings based on publicly available information contain no personal data and are thus not subject to GDPR.
